We are seeking an experienced Document & Records Management Advisor to support a Wellington-based organisation with improving and embedding strong information and document management practices.

This is a part-time contract role (1–2 days per week) focused on practical implementation – reviewing current document management processes and helping teams improve how information is stored, accessed, secured, and archived across their Microsoft 365 environment. This opportunity would suit a hands-on specialist contractor who can quickly assess the current environment, streamline processes, and support staff to adopt best-practice document management.

About the Role You will lead the practical implementation and refinement of the organisation’s document and records management approach, ensuring information is managed securely and efficiently throughout its lifecycle.
Key responsibilities include.

  • Reviewing and improving current document and information management workflows
  • Implementing effective document classification, tagging, and metadata practices
  • Establishing clear permissions and access controls for sensitive information
  • Supporting the implementation of document retention, archiving, and disposal processes
  • Helping teams organise and manage documents within SharePoint, Teams, and OneDrive
  • Providing guidance, training, and support to staff to embed best practice
  • Monitoring adoption and system performance and identifying improvements
  • Supporting compliance with regulatory, privacy, and information governance requirements

About You You will be an experienced information or records management professional who enjoys working closely with teams to deliver practical improvements.

You will bring:

  • Proven experience implementing document or records management systems
  • Strong knowledge of information governance and records management practices
  • Hands-on experience with Microsoft 365 tools (SharePoint, Teams, OneDrive)
  • Strong stakeholder engagement and communication skills
  • The ability to analyse workflows and improve how information is structured and accessed
  • A pragmatic, solutions-focused approach with strong attention to detail

Desirable experience includes:

  • Supporting digital transformation or change initiatives
  • Experience working in regulated or compliance-heavy environments
  • Familiarity with AI capabilities within the Microsoft 365 ecosystem (e.g. Copilot)
