About the role
An exciting opportunity has arisen for an experienced executive support professional to join a high-performing executive office. This role sits at the centre of a complex organisation and plays a critical part in ensuring the smooth operation of a senior leader’s office.

Working as a trusted partner, you will proactively manage priorities, coordinate key engagements, oversee workflow and correspondence, and provide the support needed to ensure effective decision-making and organisational outcomes. This position requires excellent judgement, strong stakeholder management skills, and the ability to anticipate needs before they arise.

Duties

  • Manage a complex executive diary and coordinate competing priorities and
  • Prepare agendas, briefing materials, meeting packs and correspondence
  • Coordinate internal and external meetings, engagements and events
  • Monitor actions, deadlines and commitments to ensure timely delivery of outcomes
  • Act as a key liaison point for senior stakeholders and executive offices
  • Manage sensitive communications and information with discretion and professionalism
  • Identify potential risks, scheduling conflicts and emerging issues, escalating where appropriate
  • Support travel coordination, budget administration and office planning activities
  • Maintain effective records management and information systems
  • Contribute to process improvements and support collaboration across the wider executive support network

Skills & experience

  • Proven experience as an Executive Assistant
  • Extensive experience managing complex diaries and competing priorities for senior leaders
  • Exceptional organisational skills and attention to detail
  • Strong written and verbal communication skills with the ability to engage at all levels
  • Demonstrated ability to build trusted stakeholder relationships and influence outcomes positively
  • Sound judgement, discretion and experience handling confidential information
  • Ability to remain adaptable and effective in a fast-paced, changing environment
  • Strong problem-solving capability and a proactive approach to managing workload and priorities
  • Confidence using Microsoft Office applications and technology to improve productivity and efficiency
  • Experience working with senior executives, executive leadership teams, government, corporate or similarly complex environments will be highly regarded
